Inc., Form No 30045 17-09 Resnl~~tion No. Parsed , ~0 A RESOLUTION ACCEPTING THE LOWEST AND BEST BID FOR THE 2009 SIDEWALK MAINTENANCE PROGRAM WHEREAS, formal advertising and competitive bidding procedures have been conducted, pursuant to Section 8.04 of the Dublin Charter and Chapter 37 of the Dublin Code, for the 2009 Sidewalk Maintenance Program; and WHEREAS, Council has determined that bid submitted by G & G Cement Contractors, LLC constitutes the lowest and best bid; and WHEREAS, Council has determined that there may be a legitimate need to declare the relocation of the utilities in connection with the above-referenced project as a "single source" procurement, for reason that the company owning the utilities in question has the exclusive rights to relocate such utilities. NOW, THEREFORE, BE IT RESOLVED by the Council of the City of Dublin, State of Ohio, ~ of the elected members concumng: Section 1. That the bid submitted by G & G Cement Contractors, LLC in the total amount of $87,872.60 is hereby accepted. Section 2. That the City Manager is hereby authorized to enter into contracts with G & G Cement Contractors, LLC for performance and completion of the 2009 Sidewalk Maintenance Program pursuant to the Advertisement, Proposal and Contract Documents for said project on file in the office of the City Engineer. Section 3. That public and quasi-public utilities requiring relocation, as a result of the above referenced project, are hereby declared single source. Section 4. That this Resolution shall take effect and be in force on the earliest date permitted by law. Hammersmith, P.E., Director of Engineering/City Engineer Date: April 16, 2009 Memo Re: Resolution 17-09 - 2009 Sidewalk Maintenance Program -Bid Acceptance Summary On March 10, 2009, six (6) bids were received, publicly opened and read for the 2009 Sidewalk Maintenance Program. Staff has reviewed all bids. The Engineer's estimate was $125,000. The G & G Cement Contractors, LLC submitted the lowest and best bid of $87,872.60. A summary of the bids is listed below. The majority of the sidewalk repair locations are caused by tree roots heaving the sidewalks. As apart of the repair process, these roots will be pruned and removed. A few trees that have larger roots removed in the sidewalk repair process will also have their canopies thinned and trimmed by Parks and Open Space staff. Engineering works closely with Parks and Open Space throughout the sidewalk repair process to ensure impact to trees will be minimized where feasible. For Council reference and review, the contract documents have been placed in the Council Conference room. Staff has thoroughly reviewed the G & G Cement Contractors, LLC bid. Previous experience with G & G Cement Contractors, LLC has been favorable. Feedback from references were also favorable. Memorandum re. Res. 17-09 -Sidewalk Maintenance Program April 16, 2009 Page 2 Recommendation Staff recommends approval of Resolution 17-09 accepting the bid of G & G Cement Contractors, LLC in the amount of $87,872.60 and authorizing the City Manager to enter into a contract with G & G Cement Contractors, LLC for this project.
