Form No. 30043 Ordinance No. 63-04 Passed . 24 AN ORDINANCE ACCEPTING THE LOWEST AND BEST BID FOR A DUBLIN POLICE COMMAND POST TRAILER AND AUTHORIZING THE CITY MANAGER TO ENTER INTO A CONTRACT FOR PROCUREMENT OF SAID EQUIPMENT. WHEREAS, after conducting formal advertising and competitive bidding procedures, bids were opened on August 26, 2004 for a Dublin Division of Police Command Post Trailer; and WHEREAS, Council has determined that the bid submitted by Surrey Fire Safety House in the amount of $60,305 is the lowest and best bid for the project, NOW, THEREFORE, BE IT ORDAINED by the Council of the City of Dublin, State of Ohio, of the elected members concurring: Section 1. That the bid submitted by Surrey Fire Safety House in the amount of $60,305 for the Dublin Police Command Post Trailer is hereby accepted. Section 2. That the City Manager is hereby authorized to enter into a contract for the procurement of said equipment as specified above and within the bid proposal and the City's bid documents on file in the Department of Finance. Section 3. This Ordinance shall take effect and be in force in accordance with Section 4.04(a) of the Dublin City Charter. Passed this ~ day of S ~ G , 2004. Hoyle, Director of Fiscal Administration Re: Dublin Division of Police Command Post Trailer Bid Project Summary: Ordinance Number 63-04 accepts the lowest and best bid for an Emergency Command Trailer for the Division of Police and authorizes the City Manager to enter into a contract for the purchase. On Thursday, August 26, 2004, bids were opened for the City of Dublin Emergency Command Trailer Bid Project. Bid packages were received from two vendors: • Farber Specialty Vehicles • Walters Group Incorporated, DBA Surrey Fire Safety House The significant difference between the bids largely reflects Farber's bid of a base trailer of a different and more costly construction than specified ($70,487 of the total difference of $89,344). Review of both bids indicates that the lower bid satisfies the specifications of the bid and will meet the needs of the division. Recommendation: Based on analysis of the bids submitted, it is in the best interest of the City to award the bid to Walters Group Incorporated, DBA Surrey Fire Safety House at a cost of $60,305.00. This project was funded at $70,000.00 in the 2004 Capital Improvements Budget, $62,000.00 of which was allotted for the purchase of the trailer as specified. The remaining funding will provide the equipment that is necessary to equip the trailer for use at emergency scenes and special events.
