Ordinance No YEAR AN ORDINANCE ACCEPTING THE LOWEST AND BEST BID FOR A TECHNICAL PACKAGE FOR THE DUBLIN COMMUNITY RECREATION CENTER PHASE II WHEREAS, after conducting formal advertising and competitive bidding procedures for the technical package; and, WHEREAS, Council has determined the bid submitted by Live Technologies!, in the amount of $206,782, for purchase and installation of said technical package is the lowest and best bid; and WHEREAS, after thorough analysis, the lowest and best bid has been determined; NOW, THE~tEFORE, BE IT ORDAINED by the Council of the City of Dublin, State of Ohio, of the elected members concurring that: Section 1. The bid submitted by Live Technologies! in the amount of $206,782 for the above mentioned technical package is hereby accepted. Section 2. The City Manager is hereby authorized to enter into a contract with Live Technologies! for the procurement and installation of said technical package as specified within said bidder's bid proposal on file in the Division of Human Resources & Procurement. Section 3. This Ordinance shall take effect and be in force on the earliest date permitted by law. McDaniel, Director of Service f Date: March 24, 1999 Re: Community Recreation Center, Phase II Technical Bid Process; Ordinance 35- 99 Attached for your consideration is Ordinance 35-99 accepting the lowest and best bid for Community Recreation Center, Phase II, technical equipment. Also attached for your review is a copy of the bid tabulation worksheet. This bid project involves the purchase and installation of various types of sound, light, and audio -visual equipment for the Community Theater/Community Hall. Prior to seeking formal bids for the project, the City's architect and theater consultant developed detailed specifications based on functionality in connection with the operation of the theater and community hall. The City received one bid from Live Technologies! While staff would have preferred to receive multiple bids, we were not surprised to have only received one. The technical bid is comprehensively designed to include sound, lighting, and audio-visual equipment. Additionally, the installation of this equipment is equally important to the integrity of the entire package. The bid package was advertised in the Builders Exchange and Dispatch. One bid package was sent to another known qualified bidder who did not return a bid. Our architect and the bidder estimated that there are fewer than 100 firms nationally who are qualified to respond to this bid. Likewise, there are only three such firms in Ohio. After analyzing the bid received, staff is confident that the bid is complete and the bidder qualified to provide the products and conduct the installation. The architect's estimate for the technical package and installation was $204,000. The submitted bid price of $206,782 is lowest and best and is within the budget.
