Form No. 30043 43-96 Ordinance NO.mnmn_________n Passed _________un___n.__________nn___.______ _.1900_____ AN ORDINANCE ESTABLISHING THE LOCATION AND AMOUNT OF CASH ON HAND FOR CHANGE FUNDS AND DECLARING AN EMERGENCY """"'" WHEREAS, business transactions occur in a variety of locations which require cash on hand ..."~ to complete the transaction and minimize the inconvenience to the public, and WHEREAS, Ordinance 50-94 previously established the authorized locations and amounts for change funds, and WHEREAS, it is necessary to increase the amount of the change funds maintained in the Divisions of Police and Parks & Recreation to meet their needs for processing transactions and collecting fees. NO~ THEREFORE, BE IT ORDAINED by the Council of City of Dublin. State of Ohio, __ of the elected members concurring: Section 1. That change funds for conducting City business be maintained in the following departments/divisions for the purposes indicated: Division of Accounting and Auditing General fees 5 50.00 Division of Taxation Income tax collections 50.00 Division of Court Services Court fees/costs 100.00 Division of Building Standards Building fees 75.00 Division of Police General fees 100.00 After hours collection ~ for Division of Court Services 75.00 Division of Maintenance Cemetery and general fees 50.00 ...... Division of Parks & Recreation Recreation programs 450.00 Outdoor pool- admissions 150.00 Outdoor pool- concessions 150.00 Avery Park concessions 50.00 Section 2. That the Division Head or his/her designee will be responsible for maintaining and reconciling the change ftmds on a daily basis. Receipts collected shall be deposited intact daily with the Division of Accounting and Auditing or the City depository. Section 3. That the change funds are to be used to make change only and not for payment of petty cash items. Section 4 That there be established a petty cash fund in the amount of 5200.00 which will be maintained by the Division of Accounting and Auditing for the purpose of reimbursing employees for out-of-pocket up to 520.00 per Administrative Order. Section 5. That there be established a petty cash fund in the amount of 520.00 which will be maintained by the Division of Court Services for the purpose of providing meals to prisoners appearing in Mayor's Court during their regular meal time. Section 6. That this ordinance be, and the same hereby is, declared to be an emergency measure -- in order to provide adequate change funds for processing business transactions in an efficient manner, and therefore this ordinance shall take effect and be in force immediately upon its __ passage. ~ \\\ \,\\lb . e ~o~\t: tp~lb. Subject: Ordinance Amending Chang Fund Amounts Date: April 29, 1996 Inniated By: Marsha I. Grigsby, Director of Finance ~ Ordinance #43-96 is requesting authorization to increase the amount of cash maintained by the Divisions of Police and Parks and Recreation for "chang~ funds". The Division of Parks & Recreation currently maintains a change fund for recreational programs in the amount of $75.00. With the opening of the Community Recreation Center, we will need to maintain six (6) change funds in the amount of $75.00. At anyone time there could be three (3) registers open for service and each register will need two (2) change funds in order to have change available when "shifts" are closing and reconciling their activity to the revenue collected. With the addition of an Impound! Abandoned Vehicle Release fee being charged by the Division of Police, their current change fund in the amount of$50.00 has not been sufficient.
