Fom No.3 5 52 -08 Resolution No. Passed 20 A RESOLUTION ACCEPTING THE LOWEST AND BEST BID FOR THE GROUNDS OF REMEMBRANCE PROJECT AT DUBLIN VETERANS PARK, AND AUTHORIZING THE CITY MANAGER TO ENTER INTO A CONTRACT FOR SAID SERVICES. WHEREAS, after advertising and receiving bids on Tuesday, July 29, 2008 for the Grounds of Remembrance project at Dublin Veterans Park, Council has determined that the base bid submitted by The McDaniel's Construction Corp. in the amount of $478,840.00 is the lowest and best bid; and WHEREAS, staff has recommended the acceptance of the following bid alternates from The McDaniel's Construction Corp.: bid alternate #4 in the amount of $7,200; bid alternate #5 in the amount of #1,200; and bid alternate #6 in the amount of $1,900. NOW, THEREFORE, BE IT RESOLVED by the Council of the City ofDublin, State of Ohio, —?-- of the elected members concurring that: Section 1 . The base bid submitted by The McDaniel's Construction Corp. in the amount of $478,840.00 and the bid alternates submitted by The McDaniel's Construction Corp. consisting of bid alternate #4 in the amount of $7,200; bid alternate #5 in the amount of #1,200; and bid alternate #6 in the amount of $1,900 are hereby accepted. Section 2. The City Manager is hereby authorized to enter into a contract for said project as specified within the bid proposal and the City's bid documents on file in the Division of Parks & Open Space. Section 3 . This Resolution shall take effect and be in force upon passage in accordance with Section 4.04(a) of the Revised Charter. Passed this IfflPi _ day of 2008. Brautigam, City Manager„ S 13 DATE: July 31, 2008 INITIATED BY: Fred Hahn, Director of Parks & Open Space RE: Resolution 52 -08, Grounds of Remembrance Rebid Memo Summary On Tuesday, July 29, 2008 the bids were opened for the Grounds of Remembrance project. The publicly announced estimate for the base bid for this project was $470,000. Four (4) bids were received: This project consists of an entry sign, copper clad loggia, a memory wall, dedication wall, walking path and associated site work. Complete construction details are available for review in the Council Planning room. The bid alternates include the following: #1 — (Deleted prior to bidding) #2 - Dedication Wall: Substitution of concrete letter casting for five -inch high cast bronze lettering #3 - Dedication Wall: Delete concrete letter casting. Add limestone facing with engraved lettering #4 - Dedication Wall: Delete board- formed concrete wall. Substitute with limestone cladding with engraved lettering #5 - Revise grading and lengthen path #6 — Add Stabilizer additive to all crushed stone paving As part of the base bid of this construction project, the needed storm sewer extension associated with the Indian Run Elementary public parking lot was included. The cost of this improvement is $38,000. This scope of construction cost is in addition to the $191,144 that the City has contracted directly with a vendor for the bronze guiderail and installation, bronze poem wall, and ADA rail and installation. Below is an excerpt from the July l 2008 Council update memo regarding the status of fundraising activities. Fundraising Efforts as reported July I, 2008 We are pleased to report that fundraising efforts continue to be positive. Our four focus areas have been Major Gifts, the Patron's Sycamore Grove, the Veterans Dedication Stones and Gifts from the Heart. Here's a breakdown of our fundraising effort. Gifts of $15,000 or greater will be recognized with a plaque at the base of the trees. Current Patron Sycanwre Grove Donors are: the Dublin Foundation; The Len Irunke Family; the idenzorial Tournament; Nationwide; OCLC; Time Warner Cable, Mid -Ohio Division; Washington Township. " Veterans Dedication Stones. There are 500 Veterans Dedication Stones available for $300 each. There are two options for copy on the stones. Option. #1 - veterans name, rank, branch, years of service and KIA if applicable. Option #2 — a. message of gratitude such as "We thank our veterans for their service." Without an. official campaign, more than $62,000 have been raised and we are confident that the Dublin con nu pity will help as meet, or even. exceed this goad. We plan to re- launch. this effort within the next six weeks. Recommendation Staff recommends adoption of Resolution 52 -08, accepting The McDaniel's Construction Corp's bid of $478,840.00.
