WHEREAS, Council has conducted formal advertising and competitive bidding procedures for the printing of the "Recreation Program & Activities Brochure;" and WHEREAS, Council has determined that the bid submitted by Hopkins Printing for said printing, based on the prices within the attached bid tabulation and the bidder's proposal on file within the Department of Finance, is the lowest and best bid. NOW, THEREFORE, BE IT RESOLVED by the Council of the City of Dublin, State of Ohio, 4- of the elected members concurring: Section 1. That the bid submitted by Hopkins Printing for the printing of the "Recreation Program & Activities Brochure" is hereby accepted, Section 2. That the City Manager is hereby authorized to enter into a contract with Hopkins Printing for the printing of said brochures, Section 3. That this Resolution shall take effect and be in force at the earliest date permitted by law. Passed this &-fh day of ~ ,2005. Hoyle, Director of Fiscal Administration ~ Re: Resolution 43.05, Accepting the Lowest and Best Bid for the Printing of the Recreation Program & Activities Brochure Summary: Attached for your consideration is Resolution 43-05 accepting the lowest and best bid for the printing of the Recreation Program & Activities Brochure. Also attached for your reference is a copy of the bid tabulation. This bid project involves the printing of three (3) or four (4) issues of the recreation program each year of a I-year contract with 2 optional renewal periods. The number of issues printed per year is dependent upon the schedule of classes and past practice has been printing 3 issues per calendar year. Bids were solicited on a cost per issue basis given an estimated number of copies and an estimated page length of the brochure. The total amount budgeted for 2005 for this project is $55,600. Dublin News distributes the brochure at an additional cost of $1,800 per issue to all City of Dublin residents and Dublin school district households. The next brochure, Fall 2005, will be distributed August 10,2005. Fourteen (14) vendors were invited to participate in the bid process and the City received bids from five (5) companies. As reflected on the attached bid tabulation, the City received bids from the following companies: . Quicknet . Vincent Graphics . Hopkins Printing . Stuart & Associates . Odyssey Printing Recommendation: We recommend passage of Resolution 43-05, which accepts the bid submitted by Hopkins Printing as the lowest and best bid for printing of the Recreation Program & Activities Brochure.
