A RESOLUTION ACCEPTING THE LOWEST AND
BEST BID FOR THE 2010 SOUTH LANDSCAPE
MAINTENANCE PROJECT, AND AUTHORIZING
THE CITY MANAGER TO ENTER INTO A
CONTRACT FOR SAID SERVICES
WHEREAS, formal advertising and competitive bidding procedures have been
conducted pursuant to Section 8.04 of the Dublin Charter for the 2010 South
Landscape Maintenance Project; and
WHEREAS, Council has determined that the bid submitted by Rocky Fork
Company in the amount of $182,954 constitutes the lowest and best bid; and
WHEREAS, this is an approved 2010 Parks operating budget project.
NOW, THEREFORE, BE IT RESOLVED by the Council of the City of Dublin,
State of Ohio, Jf of the elected members concurring, that:
Section 1 . The bid submitted by Rocky Fork Company in the amount of $182,954 is
hereby accepted.
Section 2 . The City Manager is hereby authorized to enter into a contract with
Rocky Fork Company for said project as specified within the bid proposal and the
City's bid documents on file in the Division of Parks & Open Space.
Section 3 . This Resolution shall take effect upon adoption in accordance with
Section 4.04(a) of the Revised Charter.

Background
Memo
On Monday, December 21, 2009 bids were opened for the 2010 South Landscape Maintenance
Project. The base bid estimate for the project was $260,000.
Seven (7) bids were received:
Recommendation
Staff recommends adoption of Resolution 08 -10, accepting Rocky Fork Company's base bid of
$182,954 for the 2010 South Landscape Maintenance Project. Rocky Fork Company has done
previous work for the City and staff has found their work to be most satisfactory.

2010 North Landscape Maintenance Project
Staff has elected to retain the services of the Rocky Fork Company for the 2010 season in
keeping with 2009 project contract documents. The price of $282,741.11 was negotiated. This
figure represents no increase in cost from 2009. This project was publicly bid in 2009, and the
contract allows for two (2) one -year extensions, if deemed in the City's best interest to do so.
2010 Muirfield Rights -of -Way Landscape Maintenance Project
Staff has negotiated the price of $60,000.00 (a 3% increase from 2009) to be paid to the
Muirfield Association, Inc., which traditionally performs all landscape maintenance in City
rights of way within the development. This cost is below current market value.

Ballantrae Rights -of -Way & Park Area
The City is currently in the process of negotiating a maintenance agreement, similar to the
agreement with the Muir Association, which would place the responsibility for contract
administration upon the Ballantrae Homeowners Association. Staff expects to have the terms of
this agreement finalized in February 2010.
Funds for all four projects are included in the 2010 Parks operating budget in the total amount of
$584,400. The sum of the three proposed projects is $525,695.11. The balance of these funds
will be utilized for the Ballantrae rights -of -way and park areas.
