Meeting Minutes
Vice Mayor De Rosa called the Tuesday, February 3, 2026 Administrative Committee
meeting to order at 5:00 p.m.
Committee Members present: Ms. Alutto, Vice Mayor De Rosa (Chair), Ms. Kramb
Staff Present: Ms. Weisenauer, Mr. Edwards, Ms. O'Callaghan
Approval of Minutes
Vice Mayor De Rosa moved to approve the minutes of the September 15, 2025 Administrative
Committee meeting.
Ms. Alutto seconded the motion.
Vote on the motion: Ms. Kramb, yes; Ms. Alutto, yes; Vice Mayor De Rosa, yes.
Items for Discussion
e Board and Commission Website
Vice Mayor De Rosa introduced the discussion about the Board and Commission website
and recruitment process. She noted that over the past five years, the Committee had
tried various approaches to increase the pool of candidates for boards and commissions.
As the number of boards and commissions had increased, including additions like the
Chief's Advisory Committee and revitalized Veterans Committee, so had the need for
more candidates to recruit, interview, and onboard.
The Committee had implemented year-round recruiting, which had increased the
applicant pool. However, feedback indicated that candidates found it difficult to navigate
the application process and understand the different boards and commissions. The
purpose of this discussion is to explore opportunities to streamline the process and make
it easier for people to apply.
Ms. Kramb pointed out navigation issues with the website. She noted that when people
search for volunteer opportunities with the City, there is no clear link to apply for boards
and commissions on the volunteer page. The application button is not prominently
displayed and requires multiple clicks to find. She emphasized that many people looking
to volunteer might not realize serving on boards and commissions is an option.

Ms. Alutto suggested the website should indicate when specific skill sets were needed for
certain boards, particularly for the Architecture Review Board (ARB) and Planning and
Zoning Commission (PZC). She noted times when they received multiple applicants with
similar backgrounds when they needed diverse skill sets.
The Committee identified the following opportunities for improvement with the current
website:
e The "Fuel the Future" branding is not immediately recognizable as related to
boards and commissions
e The site could be more mobile-friendly
e The "Current Openings" button is misleading since applications are accepted on a
rolling basis
e Advisory committees are not clearly mentioned alongside boards and commissions.
Ms. Weisenauer stated that she appreciated the feedback and acknowledged this was an
iterative process they had been working on since 2021. She noted they would add board
and commission opportunities to the volunteer page. She suggested evolving the
branding, possibly moving from "Fuel the Future" to something centered around "Serve,"
and adding a prominent link at the top of the main City website alongside "Apply for a
City Job."
Mr. Edwards shared that the site (Fuel the Future) had received over 7,000 views in
2025, with approximately 90% of traffic coming directly to the URL, likely through City
email communications. This indicated that streamlining content and improving access
points would be beneficial.
Ms. O'Callaghan mentioned that Citizen U, Leadership Dublin, the Citizens’ Police
Academy, and the Washington Township Fire Academy had been effective recruitment
channels, with about a third of applicants noting participation in at least one of these
programs.
The Committee and staff agreed to consolidate volunteer opportunities and
board/commission applications, create clearer navigation paths, improve mobile
compatibility, and revisit the branding. Communications staff would meet with Legislative
Services to discuss implementation of these changes and present a draft at the next
meeting.
